Team permissions

Give your team the right access.

Choose which clients each person can see and what they can do. Keep access clear for staff and outside help. A contractor sees their two clients. Finance sees the invoices.

Eleven areas

Off, View or Edit, area by area.

A role fills these in for you. Change any one and the role becomes Custom. If you cannot give an area, it is grayed out with the reason.

Clients

Client records, people and portal settings.

Tasks

Tasks, projects and client reviews.

Messages

Conversations with clients.

Files & Media

Reports, files, links and galleries.

Studio & AI

Studio tools and the AI assistant, which use AI credits.

Meetings

Booking and seeing client meetings.

Client Billing

Invoices and contracts for clients.

Apps

Connecting apps and what they sync.

My Brand

Brand kit, white label, company name and domain.

Team & invites

Inviting teammates and changing their access.

Plan & upgrade

Plan, usage and AI limits. Paying stays with the owner.

Which clients

All clients, or only theirs.

Next to the areas, choose the clients. All clients includes ones you add later. Chosen clients means only the ones you tick. A franchise group brings every location in it.

  • Admin always means every client. Picking Contractor switches to chosen clients.
  • With chosen clients and none ticked yet, they see no client until you tick some.
  • Account, My Team sums it up in one line, like Contractor · 2 clients.

Always with the owner

  • Paying for the plan.
  • Deleting the workspace.
  • Full access. The owner's own access cannot be changed or limited.

Set it on the invite

Choose the role, areas and clients when you make the invite link, so they arrive with the right access.

Menus that fit

A team member only sees the pages they can open. A typed address or old link explains why, instead of opening half empty.

Questions

Questions about team access.

View shows an area without changing anything. A teammate with Tasks at View can read tasks and reviews but cannot create or edit them. Pages that make something new, like a new task, client, invoice or contract, need Edit.

The owner and Admins can change anything. Anyone else needs Team & invites at Edit, cannot make someone an Admin, cannot give more than they have themselves in any area, and can only give clients they have. Nobody can change their own access, and the owner always has everything.

The pages they cannot open are not in their menus. If they follow a link or type the address, the page says they don't have access, names their role, and asks them to contact the owner or an admin. A client outside their list is treated the same way.

No. The database applies the same rules, so a teammate scoped to two clients only gets those clients' data back, whatever screen or link they use. The server functions behind the AI, the apps and meetings check the same levels, and Brava acting for a teammate stays inside their access.

When your clients are grouped, for example a franchise with several locations, you can give a teammate a whole group. They get every location in it, including ones added to the group later.

Your plan sets the number of team seats: Starter 3, Studio 5, Agency 10. Everyone on the team uses one, you included. A free trial has room for 5 people whichever plan you try, and an extra seat is $9 a month. When every seat is in use, inviting asks you to add one first.

Yes. Roles, areas and client lists work the same on every plan. The plans differ in how many seats they include.

What it does not do

  • It does not set access per task, file or project. It works by area and by client.
  • Client logins are separate. What clients see is set per client with Portal Access and portal tabs.

Try it with one client.
