Start a free trial, answer a few short questions about your work, add your logo and colors, add a client, and send them an invite. Most people have a first portal ready in under half an hour. Follow the first-portal guide

Every plan starts with a 14-day free trial, and no credit card is required. Whichever plan you pick, the trial is a Studio trial: up to 5 people, 10 client spaces, 25 GB of storage, brand styling and 500 AI credits for the whole trial. A banner shows how many days are left. When the trial ends, the workspace becomes read-only: you can look around, but changes are switched off. Choose a plan in Plan & Usage to continue, or message us from Support in the account menu if payment is not switched on for your workspace.

Yours. Every client space uses your brand name, logo, colors and font, on every plan. In My Brand, under White label, you can also rename the assistant, the portal and the tabs clients see. White-label your portal

Yes, on every plan. Open My Brand, then Domain, and claim a free address such as youragency.bravaspace.com. It is live in about two minutes, with nothing to set up. The sign-in and join pages there show your logo, colors and font, and invites, sign-in links and password resets use that address. A domain you own, such as portal.youragency.com, is coming soon. White-label your portal

Open My Brand in the Account group of the sidebar. Brand guidelines shows your brand as a short deck; press the pencil to edit it, or Scan my website to start from your site. Set your name, then Add logo to pull the logo from your website or upload a file, and add an app icon for the browser tab. The color palette has Primary, Accent, Top bar and Bar text, with palettes built around your primary and starter palettes. Typography and Shape set the font and corners. Everything saves for the whole workspace at once. Preview opens a full-screen view of your client portal, sign-in page, invoice, email and mobile screen, in light and dark, and Undo and Reset are always in reach. White-label your portal

Yes. Open Account, then App Settings, and choose Light, Dark or Match my browser. New people start in light mode whatever their browser is set to, and a choice you have already made is kept. Clients can choose too.

Yes, while the Your first week checklist is on your Overview: its menu has Take the tour again and Run the setup guide again (nothing the guide already made is made twice). Hide this checklist, in the same menu, hides both. The setup guide and checklist belong to the workspace owner.

On the sign-in page, choose Forgot password and follow the steps. You can also sign in with Continue with Google, or ask for a sign-in link by email.

Go to Clients and choose Add client. Brava asks for the client’s website, or a bit about them, and reads their logo, colors and details from the site. It asks which services their portal is for, which picks the portal tabs, then shows a card with the new client. Nothing is created until you press Approve. Prefer fields? Add manually, under Brava’s first question, opens the four-step form: Client, Contact & portal, Projects & notes, and Review.

A portal is made of tabs: Overview, Work, Requests, Visibility, Insights, Reports, Galleries, Team, Billing and Account. Account is always on. Requests, Insights, Galleries, Team and Billing start off until you switch them on for that client, under Portal tabs on the client record. You can start from a preset: Marketing and SEO, Photography and video, Web design, Everything, or Just the basics.

Yes. Open the client and choose View portal, then Preview as Client in the side bar. It shows the portal as their first invited person sees it, or as an example contact if nobody has access yet. A portal that is not active is hidden from the client, so you can prepare everything first.

On the client record, open Portal Access and choose Invite person. It makes a one-time link that is valid for 14 days. BravaSpace does not email it: copy the link and send it yourself. If you add an email address, only that address can use it. Pending invites can be copied again or revoked.

Open the client, go to Details and choose Delete client, then type the client’s name. The client is hidden right away and permanently deleted after 24 hours, along with tasks, messages, files, galleries, invoices, notes and logins. Until then you can restore it from Scheduled for deletion on the Clients page. After 24 hours it cannot be restored.

Set the task’s status to Client Review. The client sees Review & respond, and can Approve, Request changes or Comment. The statuses are Not Started, In Progress, Client Review and Completed.

Yes. Internal tasks, shown with a lock icon, are only visible to your team and never to clients. Choose who a task is assigned to: Internal, or a client.

Up to 50 MB per file, with an optional note. Upload from Files & Media with Upload files. Clients see files in their Reports tab, and their uploads show up for you too. Files count toward your storage.

Open Studio, in the Work group of the sidebar. Choose the client in the box and say what you need in a sentence: September’s report with the work shipped and the plan for October, the replies to this week’s reviews, next week’s posts, a page of copy. Brava reads the kind of piece from your words and shows it as a chip you can change, then makes it from that client’s connected apps and finished tasks, in your brand, as a page in front of you. Shorter, longer, simpler words, more numbers and a warmer tone are one tap each. Share with the client puts it in their portal as a live page they can open, with Download for the PDF. Studio and agents

Jobs Brava does for your clients without being asked each time, listed on Studio’s Agents tab. Six run on a clock once you switch them on: Reply to Google reviews, Draft the monthly report, Keep next week’s posts ready, Watch the website checks, Chase approvals and Notice quiet portals. Ten run on demand for one client with Run for [client]: Audit the site and write the fixes, Plan the quarter, Write the weekly update, Find the quick wins, Review the ad spend and Plan a month of content today, with Set up the intake form, Onboard a new client, Collect the documents and Draft the proposal coming soon. Every agent says what it reads, what it makes and what you do. What it prepares waits at the top of the Library under Ready to review until you share it, send it or dismiss it; nothing reaches a client on its own. Studio and agents

Switch on the Galleries tab for the client, then create a gallery (New gallery, in Files & Media under Galleries) and add photos. Sharing switches are Publish (a gallery is a draft until you do), Public link, Allow high-res download and Allow web-size download. With a public link, anyone can view; downloads ask for an email so you can see who downloaded. Make a new link to switch off the old one. Clients comment on each photo, approve the ones they like, and download.

Yes. Open Meetings, in the Clients group of the sidebar, choose Google Meet or Zoom for the call links, and connect Google if you have not yet (it may ask for calendar access separately from your other Google apps; with Zoom the calendar is optional). New meeting asks for the client, title, date, time and length, and who to invite: everyone at the client or specific people. With Google, it creates a Google Calendar event with a Google Meet or Zoom link and sends the Google invite to those with an email; with Zoom on its own, it makes the Zoom meeting and the agenda shows the meetings booked in BravaSpace. Either way it adds a Next meeting tile to the client’s Overview, with a Join button that opens 15 minutes before the start. The tile goes when the meeting ends. Cancel on the meeting removes the event and the tile. You can also keep one reusable meeting link and show it on client profiles.

In Messages, which lists every client conversation. Pick a client to reply, and attach files with the + button. Sent invoices and contracts also post to the client’s thread.

Invoices have a Pay now button. Payments go through Stripe, and you connect your own Stripe account. Clients see sent invoices on their Billing tab, which you switch on per client.

Open Client Billing, then Invoices, and choose New invoice. Pick a starting point (monthly retainer, monthly SEO, project deposit, three-milestone project, hourly consulting, a photo shoot, a blank invoice, or a copy of a recent one), choose the client and dates, then edit every line in the editor. Amounts start empty, and an invoice with nothing to bill cannot be sent. Choose a Style: Classic, Modern or Minimal. Send to client puts it in their Billing tab and posts a message with a link in their thread. Copy link is in the menu next to the button. The Billing tab must be switched on for that client. Approvals and contracts

Yes. Once an invoice has been sent, open it and choose Activity. The timeline shows when it was created, sent, viewed by the client, a reminder sent, and paid, newest first. Send reminder posts a polite note you can edit first, and can be used once a day while the invoice is open.

Open Stripe in Apps, or Get paid by card on the Client Billing overview, and connect it. Paste a Stripe key, add the webhook in Stripe using the URL shown, then test the connection. In Apps, Connect lets Brava walk you through it, with the key typed into a secure form, never the chat. The webhook marks invoices Paid by itself when a client pays. You can Replace the key, Test connection or Disconnect at any time. If you disconnect, Pay now goes away and paid invoices stay paid.

Pay now only appears on invoices that have been sent, once Stripe is connected. If an invoice stays Due after the client paid, the webhook may be missing. Use Mark paid in the meantime. Mark paid also covers payments made outside Stripe.

Yes. Contracts are sent to the client, who opens them in Billing and chooses Review and sign: a typed full name, email, an optional title and an I agree box. A signed copy, with a record of who signed and when, is saved to their Reports, and you see who signed. Proposals are signed the same way on their shared link. For a contract signed on paper, use Mark signed (with a date and an optional signed copy), or Mark declined. There is no identity check. The statuses are Draft, Awaiting signature, Signed, Declined and Void.

Apps opens on a directory of 44 connectors: Google Search Console, Google Analytics, Google Business Profile, Google Ads, Google Calendar and Meet, SE Ranking, Semrush, Ahrefs, Meta Ads, LinkedIn Ads, Microsoft Advertising, TikTok Ads, Pinterest Ads, Facebook Pages, Instagram, TikTok, Pinterest, YouTube, LinkedIn Pages, ActiveCampaign, HubSpot, Mailchimp, Klaviyo, Stripe, Shopify, WooCommerce, QuickBooks Online, Xero, Webflow, WordPress, Plausible, Fathom, Matomo, CallRail, Google Drive, Dropbox, Canva, Slack, Zoom, Microsoft Outlook and Teams, Calendly, Webhooks, Zapier and Make (the last two connect through Webhooks). Each has its own page: what it does, what you need and how your data is handled, then Connect, which opens a guided setup in Ask Brava (Zapier and Make are the exception: they open the API & webhooks guides). Connectors marked Beta are built and tested, and still new; Facebook Pages, Instagram, TikTok, Pinterest, YouTube, LinkedIn Pages, Microsoft Advertising, Microsoft Outlook and Teams, TikTok Ads, Pinterest Ads, QuickBooks Online and Canva show Coming soon until Meta, TikTok, Pinterest, Google, LinkedIn, Microsoft, Intuit and Canva approve BravaSpace’s apps, and Semrush, Ahrefs, HubSpot, Shopify, WooCommerce, Xero, WordPress, CallRail, Google Drive and Dropbox show Coming soon while we finish their setup. Filter the directory by category or by Connected and Available, or search by name. If a tool is missing, use Request a connector. You choose what to connect for each client, and you can do it later. Open Apps and choose a Google app, such as Google Search Console, then Connect. Brava walks you through it: choose Continue to Google, sign in with the Google account that manages your clients’ properties and tick every permission Google asks for. One sign-in covers Search Console, Analytics, Business Profile and Ads. Then match each client to their site, property, location or account: tell Brava, accept the suggested matches on the app’s page, or use Match a client there. The first sync runs right away. Meetings asks for calendar access separately, with Grant calendar access, and your other Google apps keep working meanwhile. Connect Search Console and SE Ranking

Open the Google app’s page in Apps, such as Google Search Console, and choose Reconnect, then tick every permission when Google asks. What syncs shows each client’s status; point at Error to see why. Fix it, then choose Sync now on that row. Connect Search Console and SE Ranking

There is no sign-in. In SE Ranking, open API in the left menu, then Dashboard, and copy the API key. In Apps, open SE Ranking and choose Connect. Paste the key into the secure form Brava shows (it never goes into the chat), choose Save and test, then match each client to a project. If the key is wrong, choose Replace key on the SE Ranking page.

Open ActiveCampaign in Apps and choose Connect. Paste your API URL and an admin user’s key (from ActiveCampaign Settings, Developer), then set up the Portal update object, which needs an ActiveCampaign plan with custom objects. After that, choose Sync all contacts.

Starter ($39 a month) has 5 client spaces, 3 team seats, 5 GB of storage and 1,000 AI credits a month; Studio ($99 a month) has 10 client spaces, 5 team seats, 25 GB of storage and 2,000 AI credits a month; Agency ($249 a month) has 40 client spaces, 10 team seats, 150 GB of storage and 10,000 AI credits a month. See pricing

Monthly add-ons: 50 GB of storage is $4 a month, a team seat is $9 a month and an extra client space is $15 a month. The owner buys them on the plan card in Plan & Usage and pays by card. AI credits come in one-time packs (1,000 for $10, 2,500 for $25, 5,000 for $50) that never expire and are used after the month's allowance.

Open Plan & Usage in the Account group of the sidebar. It shows storage, AI credits, clients and team seats against your limits, live. Each tile opens its own page with the detail, and has a button to add more. It shows Nearing the limit at 80 percent.

In Account, My Team, choose Invite teammate (an email is required) and pick a role: Admin, Team member, Contractor or Finance, or set each area to Off, View or Edit yourself. You can limit them to chosen clients. It makes a one-time link valid for 14 days that only that email can use, and you send it yourself. If there is no free team seat, your plan is full: see Plan & Usage.

That happens when your plan’s client spaces or team seats are all in use. Plan & Usage shows what you have used, with buttons to add more or upgrade.

The workspace owner chooses or changes the plan on the plan cards in Plan & Usage, with a review step before anything changes; payment goes through a secure Stripe checkout. If you are using more than a smaller plan includes, add the extra seats, clients or storage to the order, or reduce usage first. The rest of the month is credited; nothing is deleted. Manage billing is for canceling and changing the card. Need more than Agency? Talk to us about a custom plan. Where payment is not switched on for a workspace, message us from Support and we will set the plan up with you. Refunds, billing disputes and data recovery are handled by a person.

Yes. Refer a friend, in the account menu, gives you a link and share buttons for email, LinkedIn, X, WhatsApp and Messages, plus ready-made messages under Who to ask that you can copy. When a referred agency becomes a paying customer, you earn one free month, applied by hand to your next invoice after their first payment.

Not by default. The AI drafts replies, summaries and reports for you to review, edit and send under your own name, and nothing a draft says reaches a client until you send it. The one exception is a scheduled report: review is on by default and the draft waits in your System channel, but if you switch review off for that schedule, the file goes straight to the client.

Brava is the AI assistant. Ask it about your clients, have it draft a reply in Messages (Suggest a reply), or ask it to run Studio tools for you. It can only read public pages when working on websites, and its results are drafts. With your approval it can also make changes in connected apps, such as a review reply or a Google Ads budget: each change is applied only when you press Apply, and the app’s Logs tab, under Changes, keeps a 90-day trail. Meet Brava

Toolsets that unlock from your connected apps and your clients’ work. SEO: on-page audit, keyword to blog, meta rewrite, quick wins, keyword plan, local SEO plan and review replies. Content and social: social pack, email newsletter, case study, content calendar, web copy and welcome email series. Ads: ads copy and ads review. Photography and video: shot list, gallery captions and alt text, and delivery email. Reports: monthly narrative, quarterly review and weekly update. Each run shows its credit cost before you run it. A result can be shared with a client as a PDF, downloaded, or put in a message for you to send. Studio tools

It keeps working. A small dock in the corner shows the tool and the client it is working on, then Complete when it is done. Click it to open the result, or dismiss it. If a run did not finish, the dock says Did not finish and why.

Yes. Ask in the chat, for example for a social pack for a client, an on-page audit or the monthly report narrative. Brava runs the tool and replies with a card that opens the result in Studio. For a large run it tells you the credit cost first. It uses the client’s own website for an audit when you do not give an address.

Open a task and you will see: Clean up this task, Break it into steps, Draft a message to the client, Estimate and plan, and Ask for help. Clean up, Break it into steps and Estimate show a preview and change nothing until you choose Apply. Draft a message puts a draft in the client’s message box and sends nothing. Ask for help opens Brava with the task as context. They are for your team only.

That is a daily cap for the account or the workspace. It resets the next day (Chicago time). “Too many AI requests” just means wait a minute. Daily caps per client can be edited in Plan & Usage, on the AI credits page.

Each client sees only their own portal. Internal tasks and notes are for your team and never reach clients. Each teammate has a role that sets what they can see and change, and for which clients; a contractor sees only the clients you choose. Security and privacy

Only the workspace owner can. On a paid plan, cancel it in Manage billing first. Then go to Account, then Delete account, and type the workspace name. This deletes everything, including sign-ins. There is no export and no restore, so download your files, invoices and reports first.

Choose Support in the account menu and start a question as Support, New feature or Bug report. Each ticket shows where it stands: With the assistant, Waiting on us, In progress, We replied, Solved or Closed. Reply within 48 hours of Solved and the ticket reopens. People handle refunds, billing disputes, plan changes, data recovery, security concerns, bugs and lost access. Contact us
