How to use it

  1. Type the client and month, copy the outline, and replace each [bracket] with your own words.
  2. Fill it in the order shown, in about half an hour. Our guide to monthly reports has the timings.
  3. If you cannot fill a section, shorten it. Do not pad it.

Monthly report: [Client name], [Month]

The headline

  • One sentence a busy person can read and walk away with. [For example: Organic clicks rose 18 percent, led by the new service pages.]

1. What happened

Two or three results. Not twelve.

  • 1[Result one: the figure, the change since last month, and one line on why it matters]
  • 2[Result two: same]
  • 3[Result three, if there is one: same]

2. What it means

  • [Why we think it happened, in plain words]
  • [What we are not sure about yet, and how we will find out]
  • [Anything that dipped, stated calmly, with the reason]

3. What we did

  • [The two or three pieces of work completed this month]

4. What is next

  • 1[Action one: what, who, by when]
  • 2[Action two: what, who, by when]
  • 3[Action three: what, who, by when]

5. What we need from you

  • [Approvals waiting, files or access we need, decisions to make. Write “nothing this month” if true.]

Appendix (optional)

  • [Other figures, charts or tables for anyone who wants the detail]

Make it work

Three tips before you send it.

  • Compare every figure with last month, or it means nothing.
  • Use your client’s vocabulary, not yours.
  • Read the finished report once as the client. Replace every word you would have to look up.
