Payments and accounting

QuickBooks Online

Your portal invoices go to your QuickBooks books, and a payment there marks them Paid here.

QuickBooks Online is coming soon. We're finishing Intuit's approval; until then it cannot be connected.

Free for 14 days. No credit card needed.

What it does

Connect QuickBooks Online to your client work.

  • Invoices go to QuickBooks

Each Due or Paid invoice issued from your start date is sent once, with its lines, discount, tax and number, to the client's customer.

    Your QuickBooks company
  • Paid comes back

A payment recorded in QuickBooks that pays an invoice in full marks the portal invoice Paid, with a line on its Activity.

Invoices and the client's Billing tab
  • One customer per client

Each client is matched to its QuickBooks customer by name, or the one you pick, or a new one is added.

    This app's Connection tab
  • A log with Retry

Every invoice sent, updated, voided or marked Paid, and any that QuickBooks refused, with the reason and a Retry button.

How it works

Connect once. It keeps itself current.

  1. 1
    Sign in with Intuit

Pick your QuickBooks company. Use an admin login of that company.

  2. 2
    Choose the settings

The product or service lines are booked to, the tax codes, and the date invoices start syncing from.

  3. 3
    Turn the sync on

New and changed invoices go out every hour, and right away with Sync now.

  4. 4
    Payments come back

When QuickBooks says an invoice is paid, it is marked Paid here too, once.

Before you start

What you need.

  • A QuickBooks Online company and a login that is an admin of it.
  • A product or service in QuickBooks to book the lines to (its income account comes with it).
  • Beta: coming soon until Intuit approves BravaSpace's app (its production keys).

Permissions the sign-in asks for

  • Accounting (com.intuit.quickbooks.accounting): Intuit offers no read-only option. BravaSpace adds your clients as customers and creates, updates and voids only the invoices it sends

Setting it up

Signing in.

  1. Use a login that is an admin of your QuickBooks Online company.
  2. Intuit asks which company to connect: pick the one your agency invoices from.
  3. Then pick the product or service lines are booked to, the tax codes and the start date on the Connection tab.

In the app, Connect QuickBooks Online opens a guided setup with Brava: it asks for each thing in turn, tests the connection and tells you it is working.

Data and privacy

What BravaSpace keeps, and what it can touch.

What is stored

Intuit's tokens, encrypted (AES-GCM) in a table no browser can read, the company name and id, the customer each client is matched to, and each sent invoice's QuickBooks id and number.

Access

Reads and writes, as Intuit offers no read-only access: BravaSpace adds customers for your clients and creates, updates and voids only the invoices it sent. It never records or changes payments, and reads nothing else in your books.

Disconnecting

Disconnect QuickBooks on its page: the tokens are revoked at Intuit and deleted, and the sync stops. The invoices already in QuickBooks stay there, and the links are kept so a reconnect never sends one twice.

Questions

QuickBooks Online questions.

Brava reads the error and suggests the fix. The common ones: This is on BravaSpace's side, not yours: nothing to change in QuickBooks. It starts working by itself once Intuit has approved BravaSpace's app. QuickBooks no longer accepts the sign-in (it lasts 100 days without use, or was disconnected in QuickBooks). Reconnect QuickBooks. QuickBooks already has an invoice with that number. Change the number in the portal, or turn off "Warn if duplicate invoice number" in QuickBooks, then Retry.
