Payments and accounting

Xero

Your portal invoices go to your Xero organisation, and a payment there marks them Paid here.

Xero is coming soon. We're finishing the last setup; until then it cannot be connected.

Free for 14 days. No credit card needed.

What it does

Connect Xero to your client work.

  • Invoices go to Xero

Each Due or Paid invoice issued from your start date is sent once as an approved sales invoice, with its lines, discount, tax and number.

    Your Xero organisation
  • Paid comes back

An invoice Xero shows as Paid marks the portal invoice Paid, with a line on its Activity.

Invoices and the client's Billing tab
  • One contact per client

Each client is matched to its Xero contact by name, or the one you pick, or a new contact is added.

    This app's Connection tab
  • A log with Retry

Every invoice sent, updated, voided or marked Paid, and any that Xero refused, with the reason and a Retry button.

How it works

Connect once. It keeps itself current.

  1. 1
    Sign in with Xero

Allow BravaSpace, and pick the organisation your agency invoices from.

  2. 2
    Choose the settings

The revenue account lines go to, the tax rates, and the date invoices start syncing from.

  3. 3
    Turn the sync on

New and changed invoices go out every hour, and right away with Sync now.

  4. 4
    Payments come back

When Xero shows an invoice as paid, it is marked Paid here too, once.

Before you start

What you need.

  • A Xero organisation and a login with the Standard or Adviser role in it.
  • A revenue account in Xero for the invoice lines.
  • Beta: BravaSpace's Xero plan has a limited number of connections; when they are used up, Xero shows as coming soon until more are added.

Permissions the sign-in asks for

  • Invoices (accounting.invoices): to create, update and void the invoices BravaSpace sends
  • Payments, read only (accounting.payments.read): to know an invoice is paid
  • Contacts (accounting.contacts): to match or add your clients
  • Settings, read only (accounting.settings.read): the accounts and tax rates for the settings
  • Your name and email, and offline access so the sync runs without you

Setting it up

Signing in.

  1. Use a Xero login with the Standard or Adviser role in your organisation.
  2. Xero asks which organisation to allow: pick the one your agency invoices from (only one is used).
  3. Then pick the revenue account, the tax rates and the start date on the Connection tab.

In the app, Connect Xero opens a guided setup with Brava: it asks for each thing in turn, tests the connection and tells you it is working.

Data and privacy

What BravaSpace keeps, and what it can touch.

What is stored

Xero's tokens, encrypted (AES-GCM) in a table no browser can read, the organisation's name and id, the contact each client is matched to, and each sent invoice's Xero id and number.

Access

Reads and writes: BravaSpace adds contacts for your clients and creates, updates and voids only the invoices it sent; it reads payments only to know an invoice is paid. It never records or changes payments, and reads nothing else in your books.

Disconnecting

Disconnect Xero on its page: the tokens are revoked at Xero and deleted, and the sync stops. The invoices already in Xero stay there, and the links are kept so a reconnect never sends one twice.

Questions

Xero questions.

Invoices go to Xero; paid comes back; one contact per client; a log with Retry. Brava reads the error and suggests the fix. The common ones: This is on BravaSpace's side, not yours: nothing to change in Xero. It starts working by itself once BravaSpace has room on its Xero plan. Xero no longer accepts the sign-in (60 days without use, or the app was disconnected in Xero). Reconnect Xero. Xero already has an invoice with that number. Change the number in the portal, then Retry.
